What is building access control?

Building access control is a system that manages who can enter a building or specific areas within it, and when. It replaces or supplements traditional keys with digital credentials, checking each person’s identity and permissions before letting them through a door.

At its core, building access control does three things: it confirms who someone is, checks whether they’re allowed into a given space, and then either lets them through or doesn’t. A person presents a credential – a key card, a mobile pass, a PIN, or a fingerprint – at a reader. The reader passes that information to a controller, which checks the rules for that door and that person, and either releases the lock or doesn’t. The whole event gets logged. The same principle extends to guests through visitor management, where a pre-registered visitor is issued temporary, time-limited access instead of being manually let in at every door.

That log is often as valuable as the door itself. Instead of wondering who has copies of which keys, an organization has a record of exactly who entered which space and when. Lost credentials get revoked instantly instead of triggering a rekey. A departing employee’s access disappears the moment it’s turned off in the system, not whenever the locks eventually get changed.

Key components of building access control

A building access control system is made up of a handful of interconnected pieces.

Credentials

What a person presents to prove who they are: a key card or fob, a mobile credential on a phone, a PIN, or a biometric marker like a fingerprint or face scan.

Readers

The devices that capture a credential at the door, proximity readers, keypad readers, biometric scanners, or intercom stations with video.

Controllers

The hardware or cloud logic that checks a credential against the rules for that door, that time of day, and that person, then decides whether to unlock it.

Door hardware

The physical mechanism, an electric strike, a magnetic lock, or an automatic door operator, that actually opens or stays locked based on the controller’s decision.

Management software

The interface administrators use to add or remove people, set permissions by zone or schedule, and review the access log.

How it works

The mechanics are consistent across most systems, even as the hardware and credentials vary.

  • A person presents a credential at a reader. The reader sends that information to a controller, either on-site or cloud-based.

  • The controller checks the rules. It looks at whether that credential is valid, whether it has permission for that specific door, and whether the current time falls within an allowed window.

  • The door responds. If permitted, the controller triggers the lock or door operator. If not, the door stays locked and, depending on configuration, an alert may be logged or sent.

  • The event is recorded. Every attempt, successful or not, gets logged with a timestamp, creating an audit trail administrators can review later.

  • Permissions get managed centrally. Instead of physically rekeying a door, administrators add, adjust, or revoke access for any person from a single dashboard, often across multiple buildings at once.

Types of access control systems

Not every organization needs the same model, and most systems fall into a few broad categories.

  • Discretionary access control (DAC). A designated owner or administrator decides who gets access to a given space, offering flexibility but less centralized oversight.

  • Role-based access control (RBAC). Permissions are tied to a person’s role rather than assigned individually, so a new hire in a given department automatically gets the access that role requires.

  • Managed or mandatory access control (MAC). Access decisions follow strict, centrally defined policies, common in higher-security or regulated environments.

Beyond these models, systems also vary by deployment: on-premises controllers versus cloud-managed platforms, and by credential type: cards and fobs, mobile credentials, PINs, or biometrics.

  • Simplified offboarding. When someone leaves the organization, their access can be shut off instantly and centrally, with no lock changes required.

Even well-designed systems run into recurring obstacles.

  • Fragmented systems across sites. Organizations with multiple locations often end up with inconsistent access control platforms that don’t share data or policies.

  • Balancing security with convenience. Overly strict or clunky systems frustrate employees and visitors; overly loose ones create real security gaps.

  • Integration gaps. Access control that doesn’t connect to visitor management, HR systems, or workplace platforms creates manual work and blind spots, like a system that revokes badge access but doesn’t update the same person’s visitor pre-registration.

  • Emergency and life-safety considerations. Systems must preserve safe evacuation, meet fire and building codes, and support accessibility, which can complicate a purely security-first approach.
