Building access control is a system that manages who can enter a building or specific areas within it, and when. It replaces or supplements traditional keys with digital credentials, checking each person’s identity and permissions before letting them through a door.
At its core, building access control does three things: it confirms who someone is, checks whether they’re allowed into a given space, and then either lets them through or doesn’t. A person presents a credential – a key card, a mobile pass, a PIN, or a fingerprint – at a reader. The reader passes that information to a controller, which checks the rules for that door and that person, and either releases the lock or doesn’t. The whole event gets logged. The same principle extends to guests through visitor management, where a pre-registered visitor is issued temporary, time-limited access instead of being manually let in at every door.
That log is often as valuable as the door itself. Instead of wondering who has copies of which keys, an organization has a record of exactly who entered which space and when. Lost credentials get revoked instantly instead of triggering a rekey. A departing employee’s access disappears the moment it’s turned off in the system, not whenever the locks eventually get changed.
Access control isn’t only about keeping unauthorized people out. It’s also about giving the right people smooth, low-friction entry, which matters as much in a busy office lobby as it does in a data center. Increasingly, it’s one connected piece of a broader digital workplace, alongside the other systems and tools people rely on to move through their day.
According to Grand View Research (2024), the global access control market was valued at roughly $10.76 billion, with North America accounting for over 31% of that revenue. Physical security has become as much a software and data question as a hardware one.
A building access control system is made up of a handful of interconnected pieces.
What a person presents to prove who they are: a key card or fob, a mobile credential on a phone, a PIN, or a biometric marker like a fingerprint or face scan.
The devices that capture a credential at the door, proximity readers, keypad readers, biometric scanners, or intercom stations with video.
The hardware or cloud logic that checks a credential against the rules for that door, that time of day, and that person, then decides whether to unlock it.
The physical mechanism, an electric strike, a magnetic lock, or an automatic door operator, that actually opens or stays locked based on the controller’s decision.
The interface administrators use to add or remove people, set permissions by zone or schedule, and review the access log.

Not every organization needs the same model, and most systems fall into a few broad categories.
Beyond these models, systems also vary by deployment: on-premises controllers versus cloud-managed platforms, and by credential type: cards and fobs, mobile credentials, PINs, or biometrics.
The advantages tend to show up in a few consistent places.

Here’s how “building access control” differs from related workplace and security concepts.
Building access control governs entry for employees and long-term occupants, typically through issued credentials. Visitor management handles the separate flow of pre-registering, checking in, and badging guests and contractors who don’t have standing credentials. The two frequently integrate, so a visitor’s temporary access can be tied to the same system that manages employee badges.
A digital workplace is the broader set of tools and platforms employees use to get their work done, communication apps, room booking, intranets, and more. Building access control is one piece of the physical infrastructure that supports that workplace, but it’s a security layer, not the full experience of working in the space.
Space management is the analysis of how a building’s rooms and areas are actually used. One of the data sources that makes that analysis possible is building access control; entry and exit logs reveal occupancy patterns, even though access control itself is designed for security, not analytics.
Entry management happens via building access control – who’s allowed in and where. Employee safety software is broader, covering emergency alerts, occupancy monitoring, and incident reporting. Access control is often one data source that safety software draws on (e.g., using badge logs to inform occupancy limits), but the two serve different primary purposes: one is about permission, the other is about protection.
