THE CHALLENGE

A booking system that couldn't stay in sync with Outlook

This financial services firm ran space reservation on a legacy platform that had stopped working reliably with its Microsoft environment.

Syncs between the booking system and Microsoft Exchange and Outlook were subject to severe latency and dropped connections. Employee calendars were clogged with double-bookings and ghost reservations.

With the contract approaching renewal, the firm went looking for a replacement. It needed a space management platform that aligned natively with the Microsoft core the firm already ran on.

THE SOLUTION

Software-only booking, built around employee calendars

The firm was already an Appspace digital signage customer, running a small deployment of 50 device licenses. On one of its regular calls with Appspace’s teams, the firm expressed its frustration with the legacy reservation system.

The existing relationship made the next step easy. Appspace provided a flight of space reservation user licenses, so the firm could evaluate the tool without a new purchase or a procurement cycle.

Appspace proposed a software-only model with no hardware to deploy, built on app-based booking. At the center sits Appspace’s Outlook integration, augmented with additional customized workflows. The solution provides interactive floor plan mapping for conference rooms and generates entries directly in employees’ calendars.

THE RESULTS

Reliable booking on a workplace experience platform

The evaluation ran as a 50-user proof of concept. It proved the quality of Appspace’s real-time sync performance, Outlook integration, and mobile experience, while also addressing the latency and double-booking problems. 

On the back of that successful test, the firm moved 3,000 users across four corporate locations off the legacy platform and onto Appspace. Conference room booking now runs inside Outlook on an interactive floor plan, without the booking errors they had previously needed to work around.
