THE CHALLENGE
This financial services firm ran a fragmented workplace technology footprint. Room reservations were managed by one legacy system, while digital signage sat with another.
Running multiple vendors created overhead for the supporting teams. Employees dealt with a disjointed experience across the tools they used every day.
The reservation platform caused the most trouble. It was rigid to work with, and users struggled with latency whenever they tried to book a room.
Managing space across separate tools also made the basics harder. Coordinating corporate operations and tracking space utilization both took more work. Room bookings didn’t connect cleanly with the company’s core business systems, like Archibus IWMS, Workday, and Outlook.
THE SOLUTION
The firm standardized across the organization on Appspace. It consolidated space reservation, employee communications, and digital signage under a single platform. Appspace partner AVI-SPL assisted with the deployment.
The solution covers room scheduling, desk booking, digital signage, and wayfinding. It spans nearly 1,000 devices, including room booking panels, desk pucks, and roughly 500 digital signage displays. Further work is underway to connect Appspace with the firm’s Archibus and Workday systems.
THE RESULTS
Appspace was selected after comparing multiple vendors to replace the firm’s incumbent reservation platform. The evaluation showed the platform’s performance along with the responsiveness of the Appspace team.
Having eliminated multiple point solutions, the firm now runs a single corporate standard for workplace experience and internal communications. Booking a room or desk is quicker and simpler. With booking and signage running on the same platform, comms and facilities teams have an easier time posting updates and managing spaces.
