THE CHALLENGE
This research organization was planning a full headquarters relocation. The move came with a second change: a shift to unassigned seating in the new space.
Planning was already underway when a new mandate landed on the team. They had to source, configure, and deploy 300 room scheduling panels ahead of move-in, then bring everything live in the weeks that followed. And they had roughly four months to do it.
The unassigned seating requirement raised the stakes. Employees without assigned desks spend the day moving between shared and bookable spaces, which puts more demand on meeting rooms. Those panels would be essential to how the new workplace model would function.
THE SOLUTION
The organization had already been using Appspace for digital signage and room booking since 2024, including on legacy panels the organization already owned.
Regular monthly check-ins meant the Appspace team learned about the relocation initiative early, a month before the panel mandate came down. That lead time allowed for additional planning ahead of the deployment.
Internal champions advocated for Appspace as the single source of truth for the new headquarters. Appspace’s track record with the organization’s existing screens proved that it would be the right choice to further build out the new panel investment. They also pointed to Appspace as the better pick over the scheduling software that came bundled with the organization’s AV hardware platform.
THE RESULTS
Appspace won the decision on the back of its partnership and support.
The organization’s device licensing grew from 90 devices to 500, covering the new headquarters deployment. 300 panels will sit outside meeting rooms showing what’s free and what’s booked. In a workplace without assigned space, finding a room to meet in will be as easy as checking a screen.
