Helping new and returning employees find their way around the office

When employees at this company started returning to the office after the pandemic, many were walking through the doors for the first time. New hires who had only ever worked remotely needed help navigating the campus, finding key locations, and figuring out where to go. At the same time, booking a conference room wasn’t as smooth as it could be.

The company wanted a better way to manage room reservations using their existing iPad panels. They needed a system that not only kept employees informed but also made everyday office tasks, like finding a room or navigating the space, easier and more intuitive.

A flexible platform to manage signage and room bookings

The company already had a solid digital signage system in place, so they expanded it to tackle these new challenges. They explored using Appspace for conference room booking, testing whether they could simplify scheduling and reduce the frustration of double-booked spaces.

To help employees find their way around, they worked with the Appspace team to develop a custom wayfinding kiosk, giving employees an easy way to find offices, meeting rooms, and other key spots around campus. By keeping everything within a single system, they made it easier to manage and update without adding complexity.

With their digital signage system running smoothly, the company worked with our Workplace Experience (WX) team to fine-tune their wayfinding kiosk. After testing different options for room booking, they ultimately decided to go with Microsoft Teams panels due to the unique setup of their O365 environment.

The result? Employees can now find their way around without stopping to ask for directions, and meeting rooms are easier to book without the usual scheduling headaches. By bringing these tools together, the company made the office experience more connected, helping employees focus on their work instead of worrying about logistics.
