THE CHALLENGE
Employees may not always be in the office, but when they are, the experience should be smooth as silk – something to look forward to, rather than avoid. That’s a key reason the Smart Building market is growing tenfold, year over year.
Taking a Smart Building approach is a proven way to save money, deliver on ESG goals, and do more with less in a time of corporate belt-tightening.
A global professional services firm asked us to help them seize on these opportunities: to create an agile workplace and manage hybrid work across its offices.
The plan was to create a blueprint for an adaptable, sustainable office that would spark collaboration and innovation. From there, they could roll out new offices with Smart Building methodologies baked in, all across the globe.
THE SOLUTION
We delivered a range of solutions, including the core Appspace solutions (digital signage and employee app and visitor management) – plus tools for space usage and room booking.
Next, our Workplace Experience (WX) services team developed custom solutions, like integrations with XY Sense occupancy sensors in meeting rooms and touchdown spaces. Now, if there’s nobody in the room within 10 minutes of the meeting start time, the host gets a courtesy email to let them know. After that, if no one shows up within five minutes, the meeting gets canceled.
Room occupancy can be monitored through data dashboards for further optimization over time. Integrations between Appspace and CMS Electracom help with energy efficiency, with RFID tapping that can be used not only to check in and book desks on the fly, but also to turn on power to desks upon check-in.
We also built a custom visitor management workflow: the registration process generates a QR code that’s integrated with the company’s security turnstiles. Visitors can use the QR code to scan and open the security gates when they arrive at the office. That means there’s no wait time, and reception staff can focus on face-to-face engagement or handling issues.
It’s truly an office of the future.
THE RESULTS
We’ve helped create a state-of-the-art workplace experience: mobile communications for their hybrid workforce, automated power management reducing unnecessary energy usage, and capacity management ensuring everyone has the space they need, wherever they need it.
The company opened their first Smart Building at the end of 2022. And, as planned, that site has become the blueprint for their locations worldwide. Now, they’re set to open a new office in the ‘World Building of the Year’ which includes 1,800 workspaces that will be shared by 5,500 employees.
