Signage that sat unused

One of North America’s largest insurance companies employs more than 30,000 people across a network of offices. With a workforce that large, keeping employees informed and engaged is a daily operational challenge.

Before the pandemic, the company had built an impressive digital signage footprint, with more than 100 active displays across their locations. But this platform was owned and managed entirely by IT. The corporate communications team, who needed to put content on those screens, found the software too complex and time-consuming to use without technical support.

This gradually eroded adoption. And when the pandemic moved employees to remove work, there was little motivation to maintain a signage investment that wasn’t delivering value. The signage footprint shrank from over 100 displays to just 15.

As the company began its return-to-office push, leadership saw a chance to rebuild its signage strategy. Their vision was a platform the communications team could truly own, with the enterprise-grade capabilities and integration depth that the IT team required.

THE SOLUTION

Simplified and self-managed comms

When a company representative connected with Appspace at a conference, it quickly became clear that Appspace was an ideal fit.

One virtue was its ease of use. The communications team could easily create, schedule, and publish digital signage content on their own, without needing to submit a support ticket. 

Additionally, Appspace integrates directly with the company’s existing Microsoft Teams Rooms and Crestron AirMedia conferencing hardware. Those investments could immediately be put to better use, expanding the value of existing infrastructure rather than layering in new equipment.

THE RESULTS

From 15 screens to a 400 devices, with an expanding vision

The company launched Appspace with 40 active displays, plus plans to expand to more than 400 devices across all global locations. 

The corporate communications team is now positioned to manage their content independently, with less reliance on IT for day-to-day assistance. This is a meaningful improvement from a setup that had effectively locked them out of their own screens for years.

Appspace’s multi-tool platform set up an additional opportunity for improvement. An internal company stakeholder identified Appspace’s space reservation features as a potential solution for persistent issues – namely, a high-friction booking tool that can’t be used from mobile devices. Appspace’s single-platform approach to both digital signage and desk booking presents an appealing path forward.
